Migrating to DISAScreen with a TalentReef Integration

This informational page is designed to help with the details of transitioning your TalentReef integration from the legacy GHRR background screening platform to DISAScreen.

As a part of your migration, we have worked with the DISA Integration and TalentReef Support Teams to prepare and mirror your account set up – this means all locations, packages and client identifiers have been mapped and prepared. 

On your migration date, three things will happen:

  1. You will receive a welcome email to your DISAScreen account.
  2. The TalentReef team will update one last URL which will direct orders to DISAScreen. This switch will happen by 7 pm EST on your Migration Date. This means that you will receive login credentials prior to the URL being updated in TalentReef. Once the URL is switched orders will begin to populate into DISAScreen.
  3. Your legacy platform user accounts will be updated to View permissions. This will allow you to view all historical reports but cannot manually place new orders.

Blackout Dates & Pending Reports: be advised that once the URL is switched to DISAScreen in TalentReef that any pending reports in the legacy system will NOT update back to the candidate profile in TalentReef. You may choose to impose a blackout ordering period prior to your set migration date. Details and alternate options are below: 

  • Blackout Period: Stop ordering background checks from TalentReef 3-5 days prior to migration to allow pending orders to fully complete. DISA cannot guarantee that all reports will be completed in 3-5 days but on average this should allow enough time for proper result updates. If a complete halt on orders cannot occur you can manually order within the legacy system, but the result will not be linked to TalentReef.
  • No Blackout Period: If a full blackout period is not an option be advised that candidate results would be interrupted in TalentReef. DISA/GHRR will still deliver final candidate results via email or per user set up. Results are also visible within the legacy GHRR platform. Candidates could remain in an "in progress" status within the Background Checks: Submitted section in the TalentReef platform. These candidates can be bypassed to be completed by Admin or any user with the necessary bypass permissions. If you cannot bypass submitted background checks, you may need to contact your admin team for more information.

Ordering Background Checks: the steps for triggering/requesting an order from TalentReef to DISAScreen are almost identical to the steps you are used to from the legacy system. Please see the link to the user guide above and additional DISAScreen training guides HERE.

Please note that you will notice an update to your ordering page as we prepare for this migration. Ordering users will soon see 1681b Certification Language added to the ordered package details within TalentReef. This is in an effort to follow best practices of acknowledging this certification at time of order.

DISAScreen Grading Workflow: Like the legacy integration, the DISAScreen integration functionality pairs with candidate advancement process in TalentReef. Some accounts in the legacy GHRR platform leveraged report adjudication/grading. Most did not but will receive grading in DISAScreen. 

  • Legacy GHRR Grading Values: the legacy system applied a grade of “Green” or “Passed” for any report free of any discrepancies. This would not flag the employee in TalentReef. Any other value (i.e. “Review”, “HR Review”, etc..) would apply the caution sign on the employee in TalentReef for further review. The candidate could not be moved forward without review. 
  • DISAScreen Grading Values: to mirror the above functionality, DISAScreen will send a grading value for all integrated accounts. The values below will be used and appear on the completed background screening report:
    • Tier 1 = Clear or Passed – report is free of discrepancies*
    • Tier 2 = Review – one or more items on the report needs a review due to a discrepancy
    • Tier 3+ = Additional values could be added to allow your HR department to further adjudicate the report beyond Tier 2. These additional values will be applied in the DISAScreen account outside of TalentReef.
  • All accounts in DISAScreen will have grading applied to the completed Background Screening Reports. Accounts that used a grading matrix in the legacy GHRR system will be mirrored in DISAScreen as closely as possible. All other accounts will receive the Tier 1 and Tier 2 values.

Completed Report Result Links: As mentioned above the grading value applied to the report will coincide with the candidate advancement functionality within TalentReef. The completed report result link sent back to TalentReef from DISAScreen will open the results for you without the need to log in, allowing approved users to open, review and advance the applicant accordingly.

Please Note: Historical result links in TalentReef will no longer direct to the legacy platform. Please log into your legacy GHRR platform to view any previously completed reports.
