UltiPro - Migrating Your Integration

This informational page is designed to help with the details of transitioning your UltiPro integration from the legacy GHRR background screening platform to DISAScreen. Luckily, this process is simple.

As a part of your migration, we will automatically set up your DISAScreen account with your unique UltiPro Client Identifier before your migration date. On your migration date, you will need to update your Background Check Integration partner under Settings (see guide). Once saved you are ready to begin ordering from UltiPro to DISAScreen!

Blackout Dates & Pending Reports: be advised that once you switch the Integration Setting in UltiPro that any pending reports in the legacy system will NOT update back to the candidate profile in UltiPro. It has been encouraged from UltiPro Development that migrating clients impose a blackout ordering period prior to your migration date. Details and alternate options are below: 

  • Blackout Period: Stop ordering background checks from UltiPro 3-5 days prior to migration to allow pending orders to fully complete. GHRR cannot guarantee that all reports will complete in 3-5 days but on average this should allow enough time for proper result updates. 
  • No Blackout Period: If a blackout period is not an option be advised that candidate results would be interrupted in UltiPro. GHRR will still deliver final candidate results via email or per your user set up. Results are also visible within the legacy GHRR platform. Candidates could remain in an "in progress" status in UltiPro and require additional assistance to move them forward through an onboarding process. 

Ordering Background Checks: the steps for triggering/requesting an order from UltiPro to DISAScreen are almost identical to the steps you are used to from the legacy system. Please see the Guide for more details. 

User Routing: in the legacy platform orders would route to a user by matching the email address; if the email address did not exist it would route to a default user on the account. In DISAScreen orders cannot route to a default user. All users must exist on the account or the integration will fail the order. Please contact migration@ghrr.com if your account needs to be reviewed for users. 

Result Viewing from UltiPro: viewing results from UltiPro into DISAScreen are slightly different than the legacy integration. As is, DISAScreen will require user credentials to be entered when clicking the result link from UltiPro - this provides an additional level of security. Once logged into DISAScreen you can navigate the dashboard to see other completed results, or historical results without issue. If you would like to have a more seamless link between the systems to view the results, we can establish Single Sign On (SSO). Please note that establishing SSO will require engagement from an IT resource from your company with our Platform Support Team. Email migration@ghrr.com if you would like to explore an SSO option. 

  • Please Note: Historical result links in UltiPro will no longer direct to the legacy platform. Please log into your legacy GHRR platform to view any previously completed reports.
